How to Use SplashRoute

A simple, owner-friendly guide for managing pool service visits, confirmations, add-ons, teams, routes, customers, and invoices — from the web dashboard or the mobile app.

How your customers hear from you

SplashRoute emails your customers on your behalf — appointment confirmations, service reports, receipts, and notices when a visit moves or is skipped. Each email carries your business name and your reply-to address, so a customer who replies reaches you directly. Customers do not need to download an app or create a login: every email carries a private link to their own page. When you want to text someone yourself, the app opens a pre-filled draft in your own phone so it comes from the number they already know.

Available in 4 languages

SplashRoute is offered in English, Portuguese, Spanish, and French. Customer emails are written in the language set on each customer — not the one you use — so you can reach every customer in the language they are most comfortable using.

Quick Start

  1. Sign in to SplashRoute.
  2. Add your customers.
  3. Add your teams or techs.
  4. Create your add-on services.
  5. Schedule upcoming appointments.
  6. Review confirmation settings.
  7. Send confirmations.
  8. Check the Dashboard or Today tab each morning.

Best Daily Flow

  • Morning: review today’s jobs, pending confirmations, conflicts, and routes.
  • Before each job: open job details, review notes, check the address, and get directions.
  • After each job: mark it completed, review add-ons, and update the invoice.

Using the Web Dashboard

Dashboard

Start here each day to see today’s jobs, confirmed appointments, sent and pending confirmations, notifications, and schedule-conflict alerts.

Calendar

View jobs by month, week, or day. Open an appointment to update the time, duration, service type, team, notes, or arrival deadline. Export to a calendar file when needed.

New Appointment

Click + New Appointment, choose the client and service, pick the date, time, and duration, assign a team, add notes, and save. It appears everywhere instantly.

Clients

Store names, phones, addresses, gate codes, pets, parking, special instructions, notes, full service history, and every email sent to each customer.

Teams

Create teams, assign team colors, add members, track PTO, and assign jobs to the right techs.

Confirmations

Send, resend, or auto-send confirmation emails; choose the timing (e.g. 24h before); enable follow-ups and post-service emails; include add-on offers.

Add-ons

Create extras like a filter clean, salt cell clean, algae treatment, or tile scrub. Your add-on menu is set up on the web dashboard — open splashroute.com in any browser on your phone, tablet, or laptop. Once created, active add-ons are offered automatically in confirmation emails (customers accept with a tap on their own page) and can be added when booking a job in the mobile app.

Conflicts

Catch overlapping jobs, tight travel windows, PTO conflicts, and team/address issues before the workday starts.

Routes

See jobs grouped by team, tap Optimize to reorder stops by driving distance, see the time and miles saved, and open directions.

Invoicing

Create and review invoices, track paid and unpaid work, and correct or remove mistakes. Accepted add-ons are added to the total automatically — see Creating an Invoice below.

Reports

Review completed work, appointment volume, revenue trends over recent months, add-on performance, and team activity.

Creating an Invoice

How to create an invoice

  1. Open Invoicing (web) or More → Invoices (mobile), then choose New Invoice.
  2. Pick the appointment — today’s and earlier jobs appear, newest first.
  3. Review the accepted add-ons shown for that job.
  4. Enter the base service price in Amount, plus a tip if any.
  5. Check the total, then save.

Made a mistake? Open the invoice and use Edit (amount or tip) or Delete — on both the web dashboard and the mobile app.

Add-ons are added for you

When a customer accepts an add-on from their confirmation email, it flows onto the invoice automatically. Add-ons are shown only so you can see they have been accounted for — you never type them into the Amount box or work the math in yourself.

The Invoices list marks these with a green ✨ badge, and the New Invoice screen lists each accepted add-on with a running total before you save.

Example — don’t double-charge

Weekly Pool Service base price is $120. The customer accepted one add-on from their confirmation email — Filter Clean +$25. When you pick that job, SplashRoute already shows “✨ Filter Clean +$25.00.”

  • ✅ Correct: Enter $120 (the base service only) in Amount. The total becomes $145 automatically — $120 service + $25 add-on.
  • ❌ Incorrect: Do not enter $145 or $170 in Amount. Typing the add-on in yourself double-counts it and overcharges the customer.

Using the Mobile App

Best for checking the day’s schedule, viewing job details, getting directions, and working in the field. Four tabs: Today, Calendar, Clients, and More.

Today

See today’s appointments and status counts — including how many jobs are completed — with each job’s time, client, service type, duration, team, and address. The list refreshes automatically as you update jobs. Tap a job for full details; press and hold to delete it.

Job Details

Phone, address, service, duration, team (tap to assign or change), status, gate code, parking, pets, special instructions, notes, and add-ons. Open directions, reschedule, mark complete (or reopen a completed job), or view message history.

Calendar & Clients

Look ahead at upcoming jobs, open details, add appointments, search customers, review contact info and notes, and import contacts from your phone.

Best Daily Workflow

Morning

  1. Open the Dashboard or Today tab.
  2. Check today’s jobs.
  3. Review pending confirmations.
  4. Send or resend if needed.
  5. Review any conflicts.
  6. Check routes and team assignments.

Before Each Job

  1. Open the job on mobile.
  2. Review the address and notes.
  3. Check gate code, pets, parking, instructions.
  4. Open directions.
  5. Confirm any attached add-ons.

After the Job

  1. Mark the appointment completed.
  2. Review any add-ons performed.
  3. Create or update the invoice.
  4. Let any post-service follow-up send.

Tips for Better Confirmations

Get more replies, fewer no-shows

  • Keep customer email addresses up to date — a customer with no email gets nothing.
  • Set each customer’s preferred language.
  • Schedule jobs at least a day ahead when possible.
  • Use clear service names and accurate addresses.
  • Keep add-on offers simple — don’t offer too many in one message.
  • Review pending confirmations each morning.
  • Tell customers they can simply reply to the email — it comes straight to you.
